A guest asks a question. A colleague shares an instruction. A customer explains what they need. In each moment, your response begins before you speak: it begins with listening. At Nairobi Institute of Hospitality, we encourage prospective students to think about communication as a practical skill they can keep developing, alongside technical knowledge and professional presentation.

For anyone considering hospitality or business education, this is an encouraging starting point. You do not need a polished speech to begin building better service habits. You need curiosity, attention and a willingness to check that you have understood another person correctly.

First, give the question your attention. Let the person finish before deciding what to recommend. Notice the difference between what someone has requested and what you have assumed. In a reception setting, for example, a question about directions may also involve timing or accessibility. A helpful response starts by understanding the actual need.

Second, clarify rather than guess. Try a short, respectful question: ‘Would you like me to explain the options?’ or ‘Which part would you like more detail on?’ In beverage service, clarify preferences and relevant requirements before offering guidance. In a business conversation, confirm the task, responsibility and expected next step. Accuracy matters more than sounding impressive.

Third, close the conversation clearly. Summarise the agreed action in plain language, check understanding and explain what happens next. When information needs to reach another team member, share it accurately. These small habits can support clearer teamwork and more thoughtful interactions; they are skills to practise, not promises of a particular career outcome.

You can start today. Ask a friend to describe a service request, listen without interrupting, then summarise it back in one sentence. Discuss what you missed and try again. This simple exercise helps you notice the questions you need to ask before responding.
